About these Terms of Use

These Terms of Use explain how the LLR Knowing Me Neurodevelopmental Profiling Tool should be used.

By accessing or using LLR Knowing Me, you agree to use the tool appropriately, responsibly and in line with these terms.

LLR Knowing Me is intended to support children and young people, their parent/carers and the professionals working with them across Leicester, Leicestershire and Rutland.

1. What is LLR Knowing Me?

LLR Knowing Me is a needs-led neurodevelopmental profiling tool.

It is designed to support a collaborative conversation between a child or young person, their parent/carer and the professionals supporting them.

The tool helps those involved to consider:

• the child or young person’s strengths;
• areas of need;
• differences that may affect them at home, in education or in the community;
• reasonable adjustments and practical strategies;
• relevant support, resources and provision; and
• appropriate next steps.

The profiling process creates a needs-led summary profile that can help inform discussion, action planning and review.

2. What LLR Knowing Me is not

LLR Knowing Me is not a diagnostic assessment.

It does not:

• diagnose autism, ADHD or any other neurodevelopmental condition;
• replace a formal health or diagnostic assessment;
• replace existing referral pathways;
• replace professional clinical judgement;
• guarantee access to a particular service, assessment or diagnosis;
• replace safeguarding procedures;
• replace statutory SEND processes or duties; or
• replace the professional responsibilities of the organisations using the tool.

The profile should be considered alongside the wider information known about the child or young person.

Where there are concerns that require further assessment or specialist support, the appropriate local processes should continue to be followed.

3. Who can use LLR Knowing Me?

The LLR Knowing Me web-based profiling tool is intended to be used by professionals who have completed the required LLR Knowing Me training and have been provided with an authorised login.

Professionals using the tool are responsible for:

• completing the appropriate training;
• using their own authorised login details;
• keeping login details secure;
• using the tool only for its intended purpose;
• following the relevant guidance and procedures;
• involving the child or young person and their parent/carer appropriately; and
• using professional judgement when agreeing support and next steps.

Login details must not be shared with another person.

Access may be removed where the tool is used inappropriately or where these Terms of Use are not followed.

4. Using the tool with children and young people

LLR Knowing Me should be used in a person-centred and collaborative way.

Children and young people should be supported to understand:

• what LLR Knowing Me is;
• why it is being used;
• what will happen during the profiling conversation;
• what information is being recorded;
• who may see their needs-led profile; and
• what may happen next.

The child or young person should be supported to share their views in a way that works for them.

This may include using:

• visual prompts;
• alternative communication methods;
• simplified language;
• breaks;
• additional processing time; or
• support from someone who knows them well.

A child or young person’s views should not be assumed solely from the views of adults around them where they are able to contribute directly.

5. Parent/carer involvement

Parents and carers should be given clear information about the purpose of LLR Knowing Me and how the profiling process works.

They should have the opportunity to:

• share their views and observations;
• ask questions;
• understand the needs identified;
• contribute to discussion about support and adjustments;
• understand what information will be included in the needs-led profile; and
• contribute to agreeing appropriate next steps.

Where there are differences between the perspectives of the child or young person, their parent/carer and the school or setting, these should be explored sensitively rather than treated as one perspective being automatically correct.

6. Appropriate use of the profile

The needs-led summary profile is intended to help the people supporting a child or young person understand their needs and agree practical support.

It may be used to support:

• reasonable adjustments;
• classroom strategies;
• home-based strategies;
• action planning;
• Assess, Plan, Do, Review;
• discussions with relevant professionals;
• signposting to local support and services; and
• supporting information for an onward referral where appropriate.

The profile should not be used:

• as a diagnosis;
• to label a child or young person;
• to exclude a child or young person from education, activities or services;
• as the sole basis for a high-impact decision about a child or young person;
• to replace professional assessment where this is required; or
• for any purpose unrelated to supporting the child or young person.

7. Accuracy and professional judgement

LLR Knowing Me reflects the information and views entered at the time the profile is completed.

A profile represents a snapshot of the child or young person’s needs and circumstances and may change over time.

Professionals using the tool are responsible for ensuring that:

• the information entered is as accurate as reasonably possible;
• the different perspectives are recorded appropriately;
• information is not deliberately misleading;
• the profile is interpreted in context; and
• changes in the child or young person’s circumstances are considered as part of future review.

The output of the profiling tool is intended to support, not replace, professional judgement.

8. Review and next steps

LLR Knowing Me should form part of an ongoing process of identifying needs, providing support and reviewing whether that support is helping.

Where appropriate, the profile and action plan should be reviewed using the Assess, Plan, Do, Review approach.

The timing of reviews should reflect the child or young person’s needs and the support being provided.

A new or updated profile may be appropriate where:

• needs have changed;
• new information is available;
• support is no longer effective;
• there has been a significant change in circumstances; or
• a review indicates that further assessment or support may be needed.

9. Privacy and confidentiality

Information discussed or entered as part of LLR Knowing Me should be treated sensitively and confidentially.

Professionals using the tool must comply with their organisation’s information governance and data protection responsibilities.

The LLR Knowing Me website does not store the information entered into the profiling tool in a separate database.

Information completed through the tool is contained within the unique URL link generated for the child or young person’s needs-led profile. Access to the profile through the tool is restricted to authorised trained professionals with a valid login.

Users should take reasonable steps to keep profile links secure and should only share them with people who have an appropriate reason to access the information.

10. Sharing profiles

The needs-led profile contains information about a child or young person and should be shared carefully.

Before sharing a profile, users should consider:

• why the information needs to be shared;
• who needs to see it;
• whether sharing the full profile is necessary;
• whether the child or young person and parent/carer understand how it will be used; and
• how the information will be shared securely.

Once a profile or copy of the profile has been downloaded, saved or shared outside the LLR Knowing Me website, the individual or organisation holding that copy is responsible for managing it securely and in accordance with their own information governance responsibilities.

11. Safeguarding

LLR Knowing Me does not replace existing safeguarding processes.

If information shared during a profiling conversation raises a safeguarding concern, professionals must follow their organisation’s safeguarding policy and the appropriate local safeguarding procedures.

The need to protect a child or young person from harm takes priority over the normal profiling process.

Professionals should not rely on LLR Knowing Me as a system for reporting, recording or managing safeguarding concerns.

12. Health or urgent concerns

LLR Knowing Me is not an emergency or clinical advice service.

The tool should not be used where a child or young person requires urgent medical, mental health or safeguarding support.

Where urgent concerns arise, the appropriate health, emergency, safeguarding or crisis pathways should be followed.

13. Accessibility

We want LLR Knowing Me to be accessible to as many people as possible.

Users should make reasonable efforts to support children, young people and families to participate in the profiling process in a way that meets their individual communication and accessibility needs.

14. Availability of the service

We aim to make LLR Knowing Me available and reliable.

However, we cannot guarantee that the profiling tool will always be available without interruption.

There may occasionally be periods when the service is unavailable due to:

• planned maintenance;
• technical problems;
• updates;
• security issues; or
• circumstances outside our reasonable control.

Where a technical issue occurs, users should follow the relevant LLR Knowing Me IT guidance and contact: info@llrknowingme.org.uk where further support is required.

15. Security

Users must not attempt to:

• gain unauthorised access to LLR Knowing Me;
• access another user’s account;
• interfere with the operation of the website;
• bypass security controls;
• introduce malicious software or harmful code;
• copy or extract information for an unauthorised purpose; or
• use the tool in a way that could compromise the security or privacy of another user.

Any suspected security concern should be reported as soon as possible to: info@llrknowingme.org.uk and through the user’s own organisational information governance processes where appropriate.

16. Intellectual property

The content, design, profiling materials, statements, guidance and other resources provided through LLR Knowing Me are protected by applicable intellectual property rights.

They may be used for the intended purpose of supporting children and young people through the LLR Knowing Me process.

Unless permission has been provided, users must not:

• reproduce or republish the tool for commercial purposes;
• modify and present LLR Knowing Me materials as their own;
• copy the profiling tool to create another product or service; or
• use the LLR Knowing Me name, branding or materials in a misleading way.

17. Links to other websites and services

LLR Knowing Me may signpost users to external websites, resources, services or support.

These links are provided to help users identify potentially relevant information and support.

LLR Knowing Me is not responsible for the content, availability, privacy practices or accessibility of external websites.

A link to an external service does not necessarily mean that LLR Knowing Me guarantees or endorses that service.

Users should consider whether any external service is appropriate for the individual child or young person.

18. Changes to the tool

LLR Knowing Me is designed to develop in response to learning, evaluation, feedback and changes to local support arrangements.

We may therefore update:

• the profiling tool;
• statements or themes;
• guidance;
• resources;
• functionality;
• local signposting; or
• these Terms of Use.

The most recent version of these Terms of Use will be available through the LLR Knowing Me website.

19. Feedback and concerns

Feedback from children and young people, families and professionals is important in helping us improve LLR Knowing Me.

If you have:

• feedback about the tool;
• a technical problem;
• an accessibility concern;
• a question about how to use the tool; or
• a concern about the information provided,

Professionals accessing LLR Knowing Me should confirm that they have read and understood these Terms of Use and the accompanying guidance before using the profiling tool.

• use the tool only for its intended purpose;
• protect access to their account;
• treat information about children and young people sensitively;
• follow relevant professional, safeguarding and data protection responsibilities; and
• follow the current LLR Knowing Me guidance.
